Rotwein + Blake is seeking a highly organized and professional Executive Assistant / Receptionist to join our team. This role is ideal for an individual who thrives in a small, collaborative environment and is capable of supporting both day-to-day office operations and administrative functions across the firm.
 
This position serves as the first point of contact for visitors and clients, while also providing administrative support to staff, the President, and the CFO, including assistance with light bookkeeping tasks.
 
Responsibilities:
 
  • Serve as the primary point of contact at reception, greeting clients and visitors in a professional and welcoming manner.
  • Answer and direct incoming phone calls, manage general inquiries, and handle mail and deliveries.
  • Maintain a clean, organized, and presentable front office and common areas.
  • Provide administrative support to staff, the President, and the CFO, including scheduling meetings, coordinating calendars, and assisting with general office needs.
  • Assist with bookkeeping tasks, including data entry, invoice processing, expense tracking, and coordination with the CFO.
  • Support accounts payable and receivable processes as needed.
  • Coordinate outgoing shipments, including preparing and sending packages via UPS and other carriers.
  • Prepare, seal, stamp, and send drawing sets in accordance with firm and regulatory requirements.
  • Maintain and organize digital and physical files, ensuring accuracy and accessibility.
  • Coordinate office supplies, vendor orders, and service requests.
  • Assist with internal events, lunch and learns, meetings, and day-to-day office operations.
  • Provide general support to project teams and assist with miscellaneous administrative tasks as needed.
 
Qualifications:
 
  • 2–5 years of experience in an administrative, receptionist, or office support role
  • Associate’s or Bachelor’s degree preferred
  • Experience with basic bookkeeping or accounting functions preferred but not required
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel) required
  • Experience with accounting software (e.g., QuickBooks or similar) is a plus
  • Strong organizational and time management skills with the ability to prioritize tasks
  • Excellent verbal and written communication skills

Rotwein + Blake is seeking a full-time Architectural Designer with a minimum of 8 years of experience to manage all phases of architectural projects with demonstrated technical expertise on projects of various scales and complexities including mixed-use multifamily residential, commercial, office, medical retail and industrial.

Responsibilities:

  • Develop architectural drawings and construction documents for all phases of a project, including design development, schematic design, and construction documentation.
  • Assist with preparing technical designs and details, ensuring accuracy and adherence to project requirements, codes, and industry standards.
  • Coordinate with consultants (structural, MEP, civil engineers, etc.) to integrate systems and meet design and construction objectives.
  • Review and modify architectural plans based on client feedback, zoning regulations, and technical considerations.
  • Assist in the preparation of 3D models, renderings, and visual presentations to communicate design concepts to clients and stakeholders.
  • Provide technical support during the construction phase, responding to RFIs, reviewing shop drawings, and assisting in resolving design-related challenges.
  • Ensure projects stay on schedule and within budget by collaborating with leadership and other team members.

Rotwein + Blake is seeking a skilled and creative Interior Designer with a minimum of 5 years of professional experience to join our team. This role requires a versatile professional adept in design, modeling, and production, capable of contributing to projects from concept through completion.

Responsibilities:

  • Collaborate with the leadership on all aspects of project design, including workplace strategy, programming, schematic design, design development, construction documents, and construction administration.
  • Assist with the furniture process, including budgeting, selection, specifications, change management, and client services.
  • Produce detailed 3D models and visualizations with proficiency in Revit
  • Conduct space planning for a variety of projects, ranging in size and function.
  • Translate design concepts into precise and accurate construction documents.
  • Create visioning, schematic, and design development presentations to thoroughly convey design intent, including sourcing imagery of similar project types and design ideas.
  • Coordinate project designs with architects and trades to ensure seamless integration.
  • Maintain clear communication with clients and trades throughout the duration of the project.
  • Conduct product research and FF&E selection tailored to project needs.
  • Participate in marketing efforts, including design presentations to prospective clients.
